This policy explains what the RentLedger app and pennseholdings.com (the “Service”) collect, why, and your choices. The Service helps tenants and property managers handle repair requests, documents, leases, payments, and record-keeping.

Information we collect

Account & contact information — name, email address, phone number, and the property/unit you’re associated with.
Content you submit — repair tickets, messages, photos you attach, documents and e-signatures, and optional voice notes used to fill in activity logs.
Location — for property-staff users only, approximate/precise location is used to provide arrival reminders at a property. Tenants are never asked for location. Location is used on-device for reminders and is not sold.
Payment records — amounts, dates, and methods you or your property manager record. Card/bank numbers are processed by our payment provider and are not stored by us.
Usage & device data — basic logs needed to operate and secure the Service.

How we use it

To provide app functionality — tickets, documents, leases, payments, reminders, and tamper-evident activity/change logs.
To communicate with you about your account, requests, and documents.
To secure the Service and maintain accurate, verifiable records.

We do not sell your personal information, and we do not use it for third-party advertising or tracking across apps and websites.

Sharing

Your information is visible only to you and your property manager (or, for a property manager, their own tenants’ records). We use service providers — Google Firebase (hosting, database, storage, authentication) and our payment provider — solely to operate the Service. We may disclose information if required by law.

Data retention & records

Records (including activity and change logs) are retained to provide the Service and to maintain an accurate, tamper-evident history. You may request access to or deletion of your personal data as described below; some records may be retained where required for legal or legitimate business purposes.

Security

Data is encrypted in transit, access is restricted by email-verified accounts, and changes are written to an append-only, verifiable log.

Your choices & rights

You can review or update your profile in the app, and you can request access to, correction of, or deletion of your personal information by contacting us. Property-staff users can disable location in iOS Settings at any time.

Children

The Service is intended for adults (landlords, property staff, and tenants) and is not directed to children under 13.
